Privacy Policy

Your privacy is our priority. Learn how PosArch (AI-Powered Retail Operating System) collects, secures, and handles your store's data. Last updated: July 1, 2026.

1. Introduction

Welcome to PosArch ("we," "our," "us"). We are committed to protecting the privacy and security of your personal and business information. This Privacy Policy explains how we collect, use, store, share, and disclose your data when you access or use the PosArch SaaS platform, applications, and support channels.

By registering for an account, subscribing to our services, or interacting with our retail operating system, you consent to the data collection and usage practices outlined in this policy.

2. Information We Collect

To power your store and provide our AI-driven retail features, we collect several categories of information, including:

  • Name: Personal identifier of the store owner, manager, or cashier registering the service.
  • Email Address: Used for account validation, security alerts, newsletters, and automated PDF sales billing receipts.
  • Phone Number: Crucial for multi-factor authentication (MFA), customer support callbacks, and critical inventory warnings.
  • Store Information: Store name, store location, categories, custom catalog lists, products catalog configurations, categories mapping, and tax details (e.g. GST registration rates).
  • Billing Information: Payment method references, subscription billing intervals, invoices data, and payment logs (processed through secure third-party gateway checkouts such as Razorpay).
  • Device Information: Device models, POS operating terminal system parameters (OS version), IP addresses, screen width parameters, browser details, and live logs from USB/Bluetooth scanner hardware profiles.

3. How We Use Your Information

We process your information to deliver, maintain, improve, and secure the retail services we offer. Specifically, your data helps us:

  • Initialize and validate your POS store profile and active staff cashiers roles.
  • Process sales checkouts, calculate GST taxes automatically, and send digital mail bills.
  • Generate AI-powered demand forecasts, peak hours analytics, and stock optimization reports.
  • Trigger alerts when inventory levels cross your customized minimum stock thresholds.
  • Maintain secure operational audit records of all POS catalog events (e.g. product deletion, staff changes).
  • Provide responsive customer support assistance.

4. Data Security

We employ premium, industry-standard security controls to safeguard your data against unauthorized access, theft, loss, alteration, or exposure.

Encryption & Trust Guarantee: All customer data, sales receipts database transactions, and user credentials are encrypted in transit using SSL/TLS protocols and at rest. We enforce a strict **Never-Sell** privacy guarantee: **your store data is confidential and is never sold to third parties.**

5. Cookies

We use cookies and similar browser tracking tokens (like localStorage) to authenticate sessions, persist active user settings (such as dark mode choices), and secure your POS cashiers logged-in states. You can block or delete cookies in your browser settings, though doing so will log you out and deactivate terminal features.

6. Third-Party Services

We integrate third-party APIs to deliver complete services (such as Razorpay for secure payments and n8n webhooks for email deliveries). These platforms handle your data under their respective privacy terms. We do not control and are not responsible for the privacy practices of third-party platforms.

7. Data Retention

We retain your information for as long as your store remains active with an active PosArch profile. If you cancel your subscription or request account closure, we securely archive or purge your transaction details, catalog histories, and customer databases in accordance with Indian regulatory tax guidelines and auditing schedules.

8. Your Rights

You possess full authority to access, edit, update, correct, or request the deletion of your store parameters. Most identifiers (such as product pricing or staff configurations) can be updated instantly from your dashboard. For compliance inquiries, database downloads, or manual data purge request options, please write to us at support@posarch.in.

9. Changes to this Policy

We reserve the right to revise this Privacy Policy to reflect changing security rules, software updates, or regulatory compliance requirements. If we make material modifications, we will notify you by posting an updated version here, via email notifications, or via warning banners inside the active Billing dashboard.
